Administrative Assistant

Location: Pune

We are seeking dynamic individuals to join our team as Administrative Assistants in Pune. As an Administrative Assistant, you will play a crucial role in supporting the efficient operation of our organization. Key Responsibilities:

  1. Office Management: Maintain a well-organized and tidy office environment, including managing office supplies, equipment, and facilities. Ensure the smooth running of day-to-day operations.
  2. Administrative Support: Provide comprehensive administrative support to various departments, including scheduling appointments, managing calendars, and handling correspondence.
  3. Data Entry and Documentation: Accurately input data into relevant systems and maintain up-to-date records. Prepare and organize documentation such as reports, presentations, and spreadsheets.
  4. Communication: Serve as a point of contact for internal and external stakeholders, answering queries and directing communications as necessary. Facilitate effective communication within the organization.
  5. Event Coordination: Assist in planning and organizing company events, meetings, and conferences. Coordinate logistics, make arrangements, and ensure events run smoothly.
  6. Travel Arrangements: Coordinate travel arrangements for staff members, including booking flights, accommodations, and transportation. Ensure travel plans align with organizational policies and budgets.
  7. Customer Service: Provide excellent customer service to clients, visitors, and employees. Greet visitors, answer phones, and address inquiries in a professional and friendly manner.
  8. Financial Support: Assist with basic financial tasks such as processing invoices, tracking expenses, and reconciling accounts. Support budget management and financial reporting activities.
  9. Project Assistance: Collaborate with team members on various projects, offering administrative assistance and contributing to project objectives. Help ensure projects are completed on time and within scope.

Qualifications:

  • Education: Minimum of a high school diploma or equivalent. Additional certification or training in office administration is a plus.
  • Experience: While prior experience in administration is preferred, we welcome applications from freshers eager to learn and grow in the role. Experienced candidates should demonstrate proficiency in administrative tasks and relevant software.
  • Skills: Strong organizational skills with keen attention to detail. Excellent communication abilities, both written and verbal. Proficiency in Microsoft Office suite and other relevant software applications.
  • Adaptability: Ability to thrive in a fast-paced environment and manage multiple tasks simultaneously. Willingness to take on new challenges and adapt to changing priorities.
