Payroll Specialist (Remote)

Annual Salary: $63,800

Position Overview: We are seeking a highly organized and detail-oriented Payroll Specialist to join our dynamic team. As a Payroll Specialist, you will be responsible for ensuring accurate and timely processing of payroll for our remote employees. This role will require you to manage all aspects of payroll processing, from data entry to ensuring compliance with federal, state, and local regulations. The ideal candidate will have a solid understanding of payroll practices, experience with payroll software, and the ability to work independently in a remote environment.

This position offers the opportunity to work in a fully remote capacity, allowing for flexibility and autonomy in managing your day-to-day tasks. You will play a crucial role in supporting the financial and administrative functions of the organization, ensuring that employees are paid accurately and on time.

Key Responsibilities:

  1. Payroll Processing:
    • Manage end-to-end payroll processing for all employees, including salaried, hourly, and contract workers.
    • Ensure the timely and accurate entry of payroll data, including earnings, deductions, benefits, taxes, and other withholdings.
    • Review timekeeping records, address discrepancies, and ensure accurate reporting of hours worked for hourly employees.
  2. Compliance:
    • Stay up to date with federal, state, and local payroll regulations and ensure that payroll processes comply with all legal requirements.
    • Maintain accurate payroll records and ensure compliance with data retention policies and audit requirements.
    • Collaborate with HR and legal departments to ensure the correct classification of employees and proper documentation of payroll-related matters.
  3. Payroll Systems & Reporting:
    • Use payroll software to input and process payroll data. Troubleshoot and resolve any payroll system issues.
    • Generate payroll reports for management, finance, and auditing purposes.
    • Assist in the implementation of payroll software updates and ensure that systems are working efficiently.
  4. Employee Support:
    • Respond to employee inquiries regarding payroll, tax forms, benefits deductions, and timekeeping issues.
    • Provide support to employees regarding pay discrepancies, tax issues, or other payroll-related concerns.
    • Educate employees on payroll-related policies and processes, ensuring that they understand their pay stubs, deductions, and benefits.
  5. Tax Filing and Documentation:
    • Process and file federal and state tax returns, including quarterly and annual reports.
    • Prepare and distribute W-2s, 1099s, and other tax-related documents promptly.
    • Monitor and apply any payroll tax changes, ensuring compliance with government regulations.
  6. Benefits and Deductions:
    • Administer payroll deductions for health benefits, retirement plans, and other employee benefit programs.
    • Ensure accurate deduction of garnishments, child support, and other legally required deductions.
    • Reconcile benefits deductions and payments to ensure accurate reporting and remittance to third-party providers.
  7. Continuous Improvement:
    • Identify opportunities to improve payroll processes, increase efficiency, and minimize errors.
    • Collaborate with HR and Finance teams to streamline payroll workflows and ensure integration between departments.
    • Participate in ongoing training and professional development to stay current on best practices in payroll management.

Required Qualifications:

  • Experience: Minimum of 2-3 years of experience in payroll processing, preferably in a remote work environment.
  • Education: Bachelor’s degree in Accounting, Finance, Human Resources, or a related field preferred, or equivalent experience.
  • Technical Skills: Proficiency in payroll software (e.g., ADP, Paychex, or similar platforms), Microsoft Excel, and familiarity with accounting systems.
  • Knowledge: Strong understanding of federal and state payroll regulations, tax filings, wage and hour laws, and employee benefit deductions.
  • Attention to Detail: High level of accuracy and attention to detail in payroll data entry, review, and reporting.
  • Problem-Solving: Strong problem-solving skills and ability to troubleshoot payroll discrepancies and issues.
  • Communication: Excellent communication and interpersonal skills, with the ability to effectively interact with employees and management across the organization.
  • Time Management: Strong organizational and time management skills, with the ability to manage multiple tasks and meet deadlines.

Preferred Qualifications:

  • Experience working in a fully remote role.
  • Certification such as Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) is a plus.
  • Familiarity with multi-state payroll processing and international payroll systems is beneficial.

Work Environment: This is a fully remote position, offering flexibility in work location and hours. The Payroll Specialist will be expected to work independently while maintaining regular communication with team members and other departments.
