About the Role:
We are seeking an experienced and detail-oriented Workforce Capacity Planner to join our dynamic team. In this role, you will be responsible for forecasting, planning, and managing the workforce capacity to meet the operational needs of our business. This is a remote position that requires strong analytical skills, excellent communication, and the ability to balance strategic thinking with detailed execution.
As a Workforce Capacity Planner, you will work closely with various departments, including operations, human resources, finance, and IT, to ensure that we have the right number of people with the right skills in place at the right time. The ideal candidate will have experience in workforce management, capacity planning, and data analysis, with a focus on optimizing productivity while minimizing operational costs.
Key Responsibilities:
- Workforce Forecasting & Planning: Develop short-term and long-term workforce capacity plans to meet the business's operational needs. This includes analyzing historical data, market trends, and business forecasts to anticipate staffing needs and ensure the right number of employees are available to meet demand.
- Data Analysis: Utilize various tools and methodologies to analyze staffing trends, employee performance, and operational requirements. Generate reports that provide insight into workforce productivity, capacity utilization, and potential staffing bottlenecks.
- Collaboration with Departments: Work closely with operations, HR, and other stakeholders to understand their capacity needs, skill requirements, and any upcoming projects or seasonal changes that may impact workforce demand. Provide actionable recommendations for addressing workforce gaps or surpluses.
- Scenario Modeling: Develop and test various workforce scenarios to assess the impact of different staffing strategies. Identify potential risks and opportunities in workforce capacity and propose solutions to mitigate challenges or capitalize on trends.
- Capacity Optimization: Ensure the efficient use of resources by continuously monitoring employee performance, absenteeism, turnover rates, and other factors affecting capacity. Implement workforce strategies that enhance productivity while maintaining or reducing operational costs.
- Scheduling & Staff Allocation: Oversee the scheduling process to ensure that employees are allocated appropriately based on their skills and availability. Identify opportunities for cross-training and upskilling to maximize workforce flexibility.
- Technology & Tools: Leverage workforce management software, capacity planning tools, and other technological resources to streamline capacity planning efforts. Stay up-to-date with the latest industry tools and trends to enhance planning accuracy.
- Reporting & Presentation: Regularly present workforce plans, reports, and key metrics to senior management. Provide insights into capacity planning trends, workforce performance, and strategies to align staffing with business goals.
- Continuous Improvement: Stay informed of industry best practices and trends in workforce planning. Continuously seek opportunities to improve planning processes, optimize resource allocation, and increase operational efficiency.
Qualifications:
- Education:
- Bachelorโs degree in Business Administration, Human Resources, Operations Management, or a related field.
- Advanced degrees (MBA, Masterโs in HR, etc.) are a plus.
- Experience:
- Minimum of 5 years of experience in workforce planning, capacity management, or a related field.
- Experience in a fast-paced, high-volume operational environment is preferred.
- Proven ability to analyze complex data sets and develop actionable insights.
- Skills:
- Strong analytical and problem-solving skills.
- Proficiency with workforce management software, Excel, and other data analysis tools.
- Ability to communicate complex data clearly and effectively to various stakeholders.
- Strong organizational skills and attention to detail.
- Excellent interpersonal and communication skills, with the ability to work collaboratively in a remote environment.
- Knowledge:
- Understanding of workforce management principles, capacity planning techniques, and labor regulations.
- Familiarity with key performance indicators (KPIs) related to workforce performance, including utilization rates, productivity, and cost metrics.

Work Schedule:
This is a full-time position with flexible hours. The Workforce Capacity Planner will work remotely, but may occasionally be required to attend virtual meetings that accommodate different time zones.
