Job Overview:
We are seeking a highly motivated and detail-oriented HR Coordinator to join our team in a remote capacity. As an HR Coordinator, you will play a pivotal role in supporting the HR department's daily activities and ensuring smooth HR operations. This position is ideal for a self-driven individual who thrives in a remote work environment and is passionate about employee support and human resources.
You will work closely with HR managers and department heads to assist in the development and execution of HR strategies, policies, and procedures. Your role will require you to handle sensitive and confidential information, requiring discretion and professionalism. Youโll be the go-to person for employee inquiries, recruitment processes, HR compliance, and record-keeping.
Key Responsibilities:
- Recruitment & Onboarding:
- Assist with the recruitment process, including job postings, screening resumes, coordinating interviews, and communicating with candidates.
- Facilitate new hire orientation and onboarding processes, ensuring a seamless experience for new employees.
- Prepare employment contracts, manage offer letters, and gather required documentation for new hires.
- Set up and maintain employee profiles in the HRIS system.
- Employee Relations:
- Serve as the first point of contact for employee queries related to HR policies, procedures, and benefits.
- Support HR managers in resolving employee issues and concerns in a timely and effective manner.
- Foster a positive working environment by assisting in the development of employee engagement initiatives.
- Facilitate communication between departments to resolve interdepartmental issues.
- HR Administration:
- Maintain accurate and up-to-date employee records, including personal details, attendance, performance, and disciplinary actions.
- Ensure compliance with company policies and procedures, as well as applicable labor laws and regulations.
- Assist in updating and maintaining HR policies and employee handbooks.
- Manage and track leave requests, sick days, and attendance records.
- Compliance & Reporting:
- Ensure compliance with local, state, and federal employment laws and regulations.
- Assist in preparing reports for management, including metrics on turnover, employee satisfaction, and other HR-related statistics.
- Maintain HR documentation under company policy and regulatory requirements.
- Support audits and prepare necessary documentation for external and internal auditors.
- Compensation & Benefits:
- Coordinate with payroll and benefits providers to ensure employee information is accurate and up-to-date.
- Assist employees with questions regarding benefits, payroll, and time-off policies.
- Conduct regular reviews of compensation structures to ensure competitiveness within the market.
- Administer benefit enrollment processes and coordinate any changes to employee benefits.
- Training & Development:
- Help organize training sessions, workshops, and professional development opportunities.
- Track employee training progress and ensure compliance with mandatory training requirements.
- Assist in developing employee performance review processes, ensuring timely and fair evaluations.
- HR Systems & Technology:
- Utilize the HRIS (Human Resource Information System) to manage employee data and workflows.
- Generate reports from HR systems as needed by management or for compliance purposes.
- Identify and recommend improvements in HR processes through the effective use of technology.
- Project Support:
- Provide support on HR projects, including diversity and inclusion initiatives, employee engagement surveys, and workforce planning.
- Assist in the implementation of new HR programs and tools aimed at improving employee satisfaction and retention.
Qualifications & Skills:
- Education: A Bachelorโs degree in Human Resources, Business Administration, or a related field is preferred. HR certifications (PHR, SHRM-CP) are a plus.
- Experience: 2+ years of experience in an HR support role, preferably in a remote environment. Familiarity with HRIS systems and remote collaboration tools is a plus.
- Knowledge: Strong understanding of HR policies, labor laws, and compliance requirements.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and experienced in using HRIS systems. Experience with remote collaboration tools (e.g., Zoom, Slack, Microsoft Teams) is advantageous.
- Communication: Excellent written and verbal communication skills. Must be able to convey complex HR policies clearly and concisely.
- Organization: High attention to detail with the ability to manage multiple tasks and priorities simultaneously. Strong organizational and time management skills are essential.
- Problem-Solving: Ability to handle sensitive situations with discretion and resolve employee concerns efficiently.
- Team Player: A collaborative attitude and the ability to work effectively across departments. Must be able to work independently but also contribute to a team when necessary.
