Key Responsibilities

Coordinating Common Area Services

  • Oversee remote coordination of maintenance activities across multiple properties
  • Monitor work orders, vendor performance, and maintenance schedules to ensure timely execution
  • Provide virtual support for scheduling landscaping, janitorial, lighting, and HVAC services
  • Reconcile monthly CAM expenses and ensure equitable distribution across tenants

Communication and Documentation

  • Maintain detailed digital records for all service requests, invoices, and maintenance agreements
  • Communicate empathetically with stakeholders, vendors, and tenant reps regarding service issues or updates
  • Prepare reports and CAM reconciliations for property management teams

Vendor Management and Quality Assurance

  • Liaise with contractors to ensure the scope of work meets expectations and safety standards
  • Facilitate virtual walkthroughs and quality checks using property management platforms
  • Identify areas of improvement in vendor execution and coordinate feedback loops

Collaboration and Process Improvement

  • Collaborate with internal departments such as lease administration, finance, and property operations
  • Contribute to policy development for CAM allocation and service-level consistency
  • Participate in remote team meetings to discuss cross-functional enhancements

Minimum Qualifications

  • Ability to manage multiple priorities with grace under pressure

Preferred Qualifications

  • Experience managing commercial property portfolios or shared tenancy maintenance plans
  • Understanding of lease terms related to CAM billing and tenant cost allocation
  • Familiarity with ADA compliance and sustainability standards in property maintenance
